ChatGPT for Small Business: A Practical, Safe Starting Point
How owners can set up ChatGPT (an AI assistant you chat with in plain English), what to use it for first, and the rules for customer information to set on day one.
What ChatGPT Is Good At in a Small Business
AI assistants are best at first drafts and rewriting: emails, service descriptions, social posts, FAQs, job ads, meeting notes and checklists. They’re weaker at facts, numbers and anything that needs current local knowledge. So treat every answer as a draft a person checks.
Write a One-Page “About Our Business” Note
Write one page about your business – services, service area, ideal customers, tone of voice, words you never use. Paste it in at the start of chats (or save it in the tool’s custom instructions). This is the single biggest quality boost most owners can make.
Rules for Day One
- Don’t paste customer personal information, passwords, payment details or anything under an NDA.
- Check the tool’s data settings, and choose a business plan that lets you stop it training on your chats.
- Have a person check anything before it goes to a customer.
Five First Uses
- Reply templates for common customer emails.
- Rewriting service pages in plainer language.
- Turning a voice memo into a draft quote or proposal.
- Drafting a month of social posts from your FAQs.
- Summarizing long documents or supplier terms (then reading the key parts yourself).
